Outbound Shipping Coordinator
Summary of job contents
Ensure all outbound shipping processes are accruately completed within a timely manner and meet all customer shipping requirements. Ensure all necessary reporting and paperwork completed and filed accordingly.
Key accountabilities
• Collection and evaluation of quotes for the national and international transport of orders within the given framework.
• Notification of shipments for freight forwarders.
• Monitoring the punctual and proper order processing; in case of deviations, take suitable measures e.g. Are pickup times being met?
• Follow up with Truckers/Freight Forwarders to provide feedback. (NEW requirement KPI)
• Create / Provide all documents required for shipment, such as shipping notices, bills of lading, forwarding orders, package labels, customs declaration, certificates of origin if needed, etc.
• Processing of the usual customs formalities in the context of the specified organizational processes under consideration of the operational, country and customer-specific regulations.
• Assure end of day activities e.g. close of shipments, creation of necessary paper work, …
• Ensuring that the customer's shipping requirements are met
• Preparation of manual shipments based on int./ext. customer requirements
• Prioritizing of order processing based on cut off and pick up times
• Check transactions for completeness, accuracy of disclosures, coordinate with internal documentation and clarify any resulting inconsistencies.
• Compile reports, compile statistics, perform simple calculations e.g. Shipment Spreadsheet on Sharepoint, report trends and irregularities.
• Store technical and / or commercial documents. Set up filing. Classify documents for filing and store and monitor them, considering the retention periods.
• Responsible for directing personnel to areas that require coverage based on current workload.
• Assist with development of new logistics employees after training sign off.
• Support troubleshooting and corrective action needs with daily workflow issues.
• Manage employee shifts by sending to other work areas or dismissal for the day based on workload.
Knowledge and Experience
• High School Diploma and/or equivalent combination of education and experience required.
• At least two years prior work experience, transportation/logistics experience preferred
• Familiar with and understands shipping requirements via Ocean Import, Air Freight, Ground Truck.
• Advanced PC skills in Microsoft Software; Word, Excel, Outlook, SAP and WMS.
• Fluent in English along with superior verbal, written, and telephone communication skills.
• Critical thinking; ability to organize, prioritize, and manage multiple projects.
• Proven analytical and problem solving skills, ability to read, comprehend and compose emails and other warehouse related verbiage and acronyms.
• Capacity to work independently or within a team environment, follow direction, trouble shoot and meet goals and objectives.
• Basic understanding and previous experience in an distribution center environment.
